A firm publishes a project-intake checklist. The next urgent request still takes the old route because nobody knows whether the new rule applies. The instructions need an introduction as well as a location in the shared drive.
Walk a recent project through it
Ask the people using the process to locate the required information and identify who decides. Include missing client material and an absent manager. These cases show where staff would otherwise have to improvise.
Keep the trial small enough to review
Record questions and workarounds during the first uses. A repeated workaround can signal an instruction that cannot be followed with the information available.
Agree the review before the trial starts. The outcome may be a revision or a decision to stop. If the firm proceeds, identify the current version, retire the old route and name the person maintaining the instructions. The trial sheet records those decisions.
